Heat pump maintenance: filters, coils, and what defrost actually means

What you change yourself (filters, outdoor rinse, clearance), what a paid visit should measure (airflow, charge, defrost), and when ice on the outdoor unit is normal instead of a failure.

The filter, the outdoor coil, and the steam cloud in January are three different jobs. People treat “heat pump maintenance” as one seasonal appointment, then wonder why the indoor coil iced in July and the outdoor cabinet looked like a snow fort in a damp 35°F week. You can do the pad and the yard yourself. Defrost is the machine doing its job, until the ice is solid, the fan is locked, or the indoor coil is a brick.

What does the visit actually cost?

HomeGuide’s 2026 heat-pump service page puts a tune-up at $70 to $200. Their annual plans run $120 to $360 and usually bundle one or two visits, a filter swap, and a discount on later repairs. Minor repairs on that table are $150 to $650. Major parts (compressor, coil, reversing valve) jump to $650 to $2,500+.

Angi’s 2026 HVAC maintenance page is broader. The all-system average is $250, with a published range of $100 to $650. On their unit table, a heat pump visit is $80 to $150 and a mini-split visit is $300 to $550, because each indoor head is extra time. Treat those as bands, not a quote for your attic.

Carrier’s own service page, reviewed by their heat-pump product manager, quotes routine maintenance at $75 to $150 per visit and two-visit plans at $150 to $300. EnergySage’s maintenance guide still cites $75 to $150 for an annual call. The useful overlap is “about a hundred to two hundred dollars if someone actually opens the cabinet,” not a $39 postcard special.

A 25-minute “tune-up” that never measures airflow, never checks charge, and never runs a defrost cycle is a sales call. ENERGY STAR wants the cooling check in spring and the heating check in fall, because contractors get busy once the first heat wave or freeze hits.

The pad in the slot is cheaper than the visit. Angi’s 2026 filter page puts a typical swap at $10 to $50, with an average around $20. Pleated filters on that table run $20 to $50. Flat fiberglass is $5 to $10 for a small pack, and it mostly catches lint.

DOE’s operating guide is the efficiency number worth using, and it is not a promise that your bill drops: the difference between a well-maintained heat pump and a severely neglected one ranges from 10% to 25% in energy use. ENERGY STAR’s checklist is more specific on airflow. Problems there can cut system efficiency by up to 15%. A packed filter is how you buy that penalty on purpose.

Where is the filter, and how often do I change it?

On a ducted heat pump the pad lives in a return grille, in a slot on the air handler, or in both. Pull it with the system off. The printed inches on the cardboard are the size you order, and the arrow points toward the equipment. Filter size and MERV is the measuring job if the ink is gone.

ENERGY STAR still says inspect, clean, or change the filter once a month. DOE’s current operating page says every three months, or whatever the manufacturer printed. EnergySage splits the difference by thickness: washable mini-split screens monthly, 1-inch disposables monthly (sooner with pets), and 4- to 5-inch cabinets up to six months. Look at the pad. If you cannot see light through a 1-inch filter, change it today, because a calendar is not a pressure gauge.

EnergySage’s installer feedback is the service-call number: at least a third of calls they hear about are a dirty or clogged filter. That is not a national study. It is why you keep a spare in the house before you pay a diagnostic fee.

The cards below are 16x25x1 examples because that size is common. If your door says 20x25x1, buy that size in the same MERV. Do not tape a gap.

If the blower already sounds strained, or last winter’s MERV 13 iced the indoor coil, drop to MERV 11 in that same 1-inch slot. You still catch a lot of dust and you give the fan a break.

A 4-inch cabinet is how you keep MERV 13 without squeezing a hallway return. Only order depth the door already takes.

Mini-splits are a different product. PNNL’s Building America DIY guide says check, remove, clean, and reinstall the screens about every three months, because a clogged mesh can shut the head off until you rinse it. EnergySage says monthly for washable filters. Brand manuals often want every two weeks in heavy heating or cooling. Follow the dirtier of those, and follow your manual when it is stricter. Lift the front panel, slide the mesh out, vacuum or rinse with lukewarm water, and let it dry before it goes back. Do not shove a Filtrete into a wall cassette.

How do I clean the coils without wrecking them?

A heat pump has two coils. The outdoor coil is the finned cabinet in the yard, and in winter it is the cold side that picks heat out of the air. The indoor coil sits in the air handler or the wall head, and in summer it is the cold side that wrings humidity out of the house. Dirt on either one is a blanket. The compressor then runs longer for the same room temperature.

The outdoor coil is the one you can see. Trane’s coil page is blunt about DIY: keep shrubs at least two feet off every side, pick leaves and cottonwood off the top, and mow so the discharge blows away from the cabinet. EnergySage’s clearance line is 18 inches. Give it the two feet when the planting bed will let you, because a holly hedge against the fins is how the unit recirculates its own exhaust.

Trane: how to clean heat pump coils

Shut power off at the disconnect. Rinse the fins with a garden hose on a gentle setting, from the outside, not with a pressure washer. The jet will fold aluminum fins flat, and a folded coil does not exchange heat. Trane’s techs still want a spring and fall visit to do the inside of that cabinet. Your hose job is debris, pollen, and grass. It is not a chemical deep-clean.

Leave the indoor evaporator to the technician unless the manufacturer printed a homeowner procedure for that model. The coil lives behind an access panel, often next to a drain pan and a refrigerant circuit you are not licensed to open. Trane says not to touch it, because a bent indoor coil and a voided warranty are a bad afternoon. The unpaid version of indoor-coil care is the filter. Skip the pad for a season and the dust lands on the coil, which is much harder to wash than cardboard.

While the tech is in the cabinet they should also look at the condensate pan and the drain line. ENERGY STAR puts a plugged drain on the annual list because it dumps water in the closet and wrecks humidity control. EnergySage’s homeowner flush is ¼ cup of bleach or vinegar, then two cups of water, if the line is accessible and the manual allows it. If the pan is rusted through, that is a part, not a flush.

What is defrost, and when is ice a problem?

In heating mode the outdoor coil runs 10°F to 20°F colder than the air around it, which is Trane’s number. The coil collects condensation the way a glass of ice water does. Below freezing that film turns to frost, and it does not need to be 20°F outside for that to start. Trane says the unit can enter defrost in the low 40s, and that it is more common in the 20s and 30s.

Defrost is the reversing valve sending hot refrigerant to the outdoor coil for a few minutes, which is cooling mode on purpose. The outdoor fan usually stops so the heat melts ice instead of blowing into the yard. You may hear a whoosh as the valve flips. You may see a cloud of steam. Water should run out of the base. Inside, backup heat (strips, or the furnace on dual fuel if the control allows it) is supposed to keep the supply air from feeling like an open window. Trane’s product manager’s line is that most people never notice, because AUX comes on. The small group without strips, or on dual fuel that will not fire the furnace with the compressor, may feel cooler air for those minutes. That is the cycle, not a failed compressor.

Trane: what is the heat pump defrost cycle

EnergySage’s freeze explainer puts typical defrost at every 30 to 90 minutes in frosting weather, until the outdoor coil reaches about 57°F. A thin layer of frost between cycles is expected. Ice that sits for several hours, frost that lasts more than about two hours, or a unit that never leaves defrost is the failure mode. Then you look for a blocked cabinet, a failed defrost sensor, or low refrigerant, not for a bigger outdoor unit.

DOE’s older weatherization notes for clients are still the right picture: hissing, gurgling, and a steam cloud are normal. Frost and a little ice on a damp day just above freezing are normal. Hard, clear ice that buries the coil is a service call, because the defrost cycle is not finishing.

Do not chip ice with a screwdriver or a hammer. You will hole a tube. Do not pour boiling water on a cold coil. If snow or a drift is blocking the cabinet, EnergySage’s move is to shut the unit off, or switch to emergency heat for a short window, and brush the snow away. Then give defrost a chance to work. Emergency heat is strips only. Leaving that mode on all January is how a heat-pump house gets a baseboard bill. Indoor ice is a different failure. A frozen indoor coil in cooling usually means low airflow (dirty filter, closed returns, undersized duct) or low refrigerant. Change the pad first. If the ice comes back with a clean filter and open registers, that is a charge or a metering-device call, not another MERV 13.

What should the technician actually do?

DOE wants a professional at least once a year, and the list is specific: inspect ducts, filters, blower, and indoor coil; measure airflow; measure refrigerant charge; check for leaks; clean and tighten electrical connections; lubricate motors and inspect belts; confirm heat and cool are not fighting each other; verify the thermostat. ENERGY STAR adds coil cleaning, a condensate check, and the 15% airflow warning.

Carrier’s dealer “clean and check” is the heat-pump-shaped version of that list, and it is the one to put in writing when you book:

  1. Refrigerant charge and a leak look, plus airflow, not a glance at the gauges.
  2. Electrical connections and a capacitor check (bulge, scorch, or a meter, not a shrug).
  3. Outdoor coil cleaned and inspected.
  4. Reversing valve cycled in both modes.
  5. Defrost tested so you are not finding out in January.
  6. Auxiliary heat verified during defrost, so the house does not dump cold air while the outdoor coil melts.
  7. Indoor coil inspected, drain cleared, blower cleaned, filter replaced or cleaned.

If the visit is 20 minutes and nobody ran heat, cool, and defrost, you bought a filter change with a logo on the invoice. Ask for the measurements on paper: airflow, superheat or subcooling as the metering device requires, and a note that defrost terminated. Some warranties want documented maintenance. What the home-warranty contract excludes is the paper chase if a third party is paying claims.

Two visits a year is the honest cadence on a machine that heats and cools. Fall is defrost, reversing valve, and aux. Spring is the indoor coil, the drain, and cooling charge. One annual call is the DOE floor, not the luxury option.

How does this go wrong?

The 1-inch MERV 13 in a small hallway return starves the indoor coil. The coil ices. The house feels sticky. Someone blames the outdoor unit.

A pressure washer folds the outdoor fins. Capacity falls and the compressor sounds busy. Nobody connects it to the “cleaning” afternoon.

Snow is left piled against the cabinet, or a plywood cover traps the discharge. Defrost cannot throw water, the base ices into a rink, and the fan hits ice.

Emergency heat is left on after a storm because the steam cloud looked like a fire. Strips run for weeks.

The mini-split screens are never rinsed. The head faults out, or it smells like a damp closet, and the first Amazon instinct is a 1-inch furnace filter that does not fit.

The tech never tests defrost. The first hard freeze is the first time anyone learns the sensor is dead.

A communicating inverter is paired with a random Wi-Fi stat, the board throws a control fault, and maintenance becomes a warranty argument. That is a thermostat problem, not a hose problem.

How do I decide this week?

  1. Pull the ducted filter with the system off, or rinse the mini-split screens, and write the size on the door so the next order is not a guess.
  2. Walk the outdoor unit and give it roughly two feet of air, then rinse the fins with a garden hose on a gentle setting after you kill power at the disconnect.
  3. Watch one heating evening in the 30s so you know what steam, a stopped outdoor fan, and a few minutes of AUX look like, and so you do not treat that as a breakdown.
  4. Book a visit that names reversing-valve, defrost, aux-in-defrost, airflow, and charge on the invoice, and treat HomeGuide’s $70 to $200 (or Angi’s $80 to $150 heat-pump line) as the band for that call, not for a compressor.
  5. Keep emergency heat for a failed outdoor unit or a buried cabinet, then switch back, because strips are not the winter plan.
  6. If ice on the outdoor coil is hard and clear after a few hours, or the indoor coil ices with a clean filter, stop and call. That is refrigerant, a sensor, or airflow the pad cannot fix.
